Groups - Overview

A Group in Skyware Systems may be an individual or a company, and is put together or considered as a unit that sends business to your Property. This definition is typically used for tracking purposes to see what type of business a group is bringing to your Property.

A Group record, just like a Guest record contains detailed information for an individual or company and needs to exist in order to create a Stay record (reservation) or group booking.

 

Often, you may need to create a Group record when generating a Group Block reservation; if you do not have the Group in your system during the Group Block creation, you will click Create New Guest at the appropriate point in the process and enter all of the guest information (address, phone, fax, etc).

NOTE: Once a Guest or Company has been attached to a Group Block, they will then be listed under the "Group" category of the Files Menu screen.

To create a Group record in your Skyware Systems without creating a Group Block you will need to open the Group Account information screen and enter the details there. Please see Group Account screen for more information on how to do this.

 

Once you have a Group record in Skyware Systems, the information on the Group can be accessed and edited from the Group Account screen at any point. Group Stay information is accessed the same way individual stay information is accessed.

To access a Group's Stay information, select Modify Folio from the Action Bar at the top of the screen. Use the checkboxes at the top of the Search screen to filter the list for Groups, either those in-house or those with reservations. From the search results, click the row of the group whose stay you want to view.

The Stay Information screen for a group contains the same information as the Stay Info for an individual. This includes the confirmation number, Reservation status (RESV, CANC, FOL, HIST, TEMP),  the Folio and Booking name, Stay Dates Information (Dates, Nights), Package Plan and Price, Accommodation Type, and Payment Information. When you access a folio or stay, the default tab that appears is the Stay Info tab. This tab allows you to manage basic guest information.
